Implementation for Aara Printing House

Our client, Aara digital and offset printing house, offers a wide range of services, including, among others, the production of business cards, POS materials, unit packaging, displays and premium packaging. The printing house also carries out projects that require a significant share of manual work. She is happy to take on difficult challenges and new, unusual topics.

Project scope

AARA faced the challenge of optimizing its production processes. A key objective was to increase control over the duration of individual production stages and to obtain accurate data on the team's work efficiency, which would allow for better determination of the profitability of orders and more accurate valuations of future projects.

To meet these requirements, the company decided to implement the Activity Records module in the Time Harmony system, which allows for accurate measurement of the time spent on individual activities related to production. The system was designed to provide general supervision over the team's work and to provide the data necessary to analyze the profitability of the orders being executed.

WHAT WAS DONE?

The implementation team adapted the Activity Records module to the specifics of the AARA printing house's operations, configuring the activity tree in the system. Every production-related activity, from material preparation to printing and packaging, has been defined in detail in the system. This made it possible to precisely track the time spent on each of these activities, which allowed for ongoing monitoring of production progress.

In this case, there was no need to build an interface between the Time Harmony system and the client's system. The Time Harmony system was integrated with the devices using scanners that enabled quick reading of the order number. After scanning the order number, the system automatically recorded the duration of a given activity and monitored the level of employee involvement in the execution of the order.

BENEFITS OF IMPLEMENTATION

The implementation of the Time Harmony system brought AARA a number of benefits that had a key impact on the efficiency and profitability of the business:

1. Overall supervision of the team's work: Thanks to detailed data on the time of performed activities, the company gained full control over the work of individual employees, which allowed for better team management and faster identification of areas for optimization.

2. Profitability of orders: Thanks to the precise measurement of the duration of individual production stages, the company was able to determine the profitability of current orders and verify the correctness of the valuation made. The analysis of the time spent on specific activities allowed for a more accurate determination of the costs of order implementation.

Thanks to the integration of the Time Harmony system, every step of the production process – from material preparation to printing finalization and packaging – is accurately recorded and monitored. The analysis of this data allows for a precise estimation of the time needed to complete individual orders and for a more accurate determination of the required resources, such as the number of employees, machines, materials or working time.

Thanks to the systematic collection and analysis of data on the time of performed activities, the company gains full awareness of the costs associated with each stage of production. This allows for a more accurate prediction of the total costs of future projects, which is particularly important in the context of negotiations with clients or setting price lists for services. Past experience, based on historical data, also allows you to make more accurate predictions about the resources needed to fulfill new orders.

Collecting data on the duration of each activity also helps you identify areas where improvements can be made and save time or resources. For example, if an analysis shows that a particular production step requires more time than anticipated, the company can take steps to optimize that process, which in turn will reduce production costs in the future. Being able to predict such issues based on accurate data eliminates the risk of unforeseen costs and delays that could occur as a result of misestimates or lack of proper planning.
