Thanks to modern logistics and close cooperation with manufacturers and pharmacies, it ensures efficient delivery of pharmaceutical products throughout the country. Project scope
Viapharma, as a dynamically developing pharmaceutical wholesaler, bases its warehousing operations both on its own employees and on employees employed by employment agencies, adapting its employment structure to current operational needs.
Shift time management, overtime control, and accurate attendance records were key challenges. Previous methods, based on paper documentation and manual data entry, were time-consuming and error-prone. The company needed a modern solution that would allow for the automation of T&A (Time and Attendance) processes.
KEY FUNCTIONALITIES OF THE SYSTEM AS PART OF THE IMPLEMENTATION
Viapharma has decided to implement the T&A module in the Time Harmony system, which ensures:
- Automatic registration of entrances and exits – integration with turnstiles and card readers allowed for precise monitoring of attendance
- Support for various shift schedules – the system allows for flexible management of work schedules, tailored to the needs of the wholesaler
- Ongoing monitoring and reporting – managers have gained access to intuitive dashboards with the analysis of attendance, lateness and overtime
- Integration with HR and payroll systems – data on working time is automatically transferred to the HR system, which speeds up payroll calculation
- Components for calculating wages - the system provides a complete set of data on the working time worked, the number of overtime, night hours, work on non-working days and holidays
ORGANIZATION MODULE - COMPREHENSIVE PERSONNEL MANAGEMENT
As part of the T&A module, Viapharma has also gained access to an advanced employee file, which is a central place for collecting all key information on employment. The system allows you to store data on the course of employment, history of job changes, as well as mandatory training and periodic examinations, providing timely reminders about their renewal. In addition, the card will allow you to record the resources assigned to the employee, such as company equipment, work clothes or badges, which makes it easier to manage and control the condition of the equipment. The Organization module allows you to track the competences and qualifications of employees, which will streamline the process of assigning tasks and allow you to better match the team to the projects being implemented. All these functionalities support the operational management of employees, increasing organizational efficiency and facilitating ongoing HR activities.
The next step - recording activities
Viapharma, recognizing the benefits of automation and digitization of processes, plans to further develop cooperation by implementing the activity recording module. The new solution will allow for detailed monitoring of the tasks performed, analysis of employee efficiency and optimization of key operational processes.
Thanks to the activity records, managers will gain access to detailed online data that reflects the work process in the warehouse in real time. Interactive dashboards will allow you to quickly track the activities performed, identify potential delays and analyze the workload of individual employees. This will allow for more efficient team management, even distribution of responsibilities and elimination of bottlenecks in operational processes.
The system will also improve work planning, providing reliable information on the actual time of completion of individual activities. Based on the collected data, it will be possible to better forecast staffing needs, optimize schedules and increase the efficiency of the entire team. The implementation of this module is another step towards modern and efficient operations management at Viapharma.

Viapharma Pharmaceutical Wholesaler is part of the Dr. Max Group, with which we have been cooperating since 2024. The potential of the Time Harmony system was appreciated thanks to the quick and measurable benefits resulting from the implementation, which resulted in its recommendation to another company within the Group.
After the first phase of implementation, in which Viapharma uses the T&A module to automate the processes of registration and recording of working time, our Client plans to expand the cooperation. The next step will be the implementation of the activity recording module, enabling full use of the system's functionality and further optimization of the team's work.
