Implementation for the leading Logistics Operator

Our client is one of the largest logistics operators in Poland, managing a supply network for a leading clothing brand, operating both in Polish and abroad. The company offers solutions to support the Group's global business activities in the field of transport, forwarding and logistics.

Project scope

One of our clients, with an extensive network of logistics and warehouse centers, decided to implement a project to manage the work of personnel responsible for the storage and distribution of goods. The aim of the initiative is to improve the organization of work and optimize processes related to internal logistics.

The Client's warehouses employ both full-time and temporary employees hired by employment agencies, which posed an additional challenge in terms of effective monitoring and management of working time.

The purpose of the implementation of the system was to improve work management, increase operational efficiency and better monitor the performance of both groups of employees. Thanks to the implementation of a modern system based on reliable data, the company strived to improve the organization of work and optimize warehouse processes.

 

BENEFITS OF IMPLEMENTATION

The implementation of the Time Harmony system made it possible to record out-of-system activities that are not recorded by traditional WMS and ERP systems, such as cleaning work, breaks or organizational meetings. Calculating the time spent on these activities provided important information on their duration, which created room for optimization. The system also made it possible to monitor unproductive activities, such as the time between coming to work or returning from a break and the start of the first activity.

By analyzing this data in detail, the company was able to identify areas for improvement and implement effective optimization measures.

RESULTS

Working with the Time Harmony system allowed for a significant reduction in unproductive activities. In the first month after the implementation of the system, the level of time spent on idle activities was as high as 20%, while now it has been reduced to about 2%. 

By accurately recording off-system activities such as cleaning work, breaks, and organizational meetings, the company was able to optimize the time spent on these activities. 

The system's measurement of these activities provided objective data that made it possible to identify areas for improvement and implement effective solutions. The result was not only a reduction in idle activities, but also a more efficient use of working time throughout the warehouse process.

Economies of scale in reducing labour costs

The implementation of the Time Harmony system brought measurable financial benefits, which are of key importance for companies operating on a large scale, employing thousands of employees, as in the case of our Client. By precisely monitoring non-system activities, such as cleaning work, breaks or organizational meetings, the company was able to optimize the time spent on these tasks, eliminating inefficiencies and minimizing time wasted. In addition, the system allowed for accurate measurement of unproductive activities, such as idle time – for example, the time between coming to work and starting the first activity, or the time after returning from a break. As a result, it was possible to significantly reduce non-productive activities, which contributed to the reduction of idle time.

This type of reduction, although it may seem marginal at the level of a single employee, translates into savings of millions of zlotys per year on the scale of thousands of employees. By reducing non-productive time by 20% in the first stage of implementation and further optimizing non-system activities, the company achieved significant improvements in profitability, reducing operating costs and increasing efficiency. In the case of large logistics operators, such as this one, employing thousands of employees, such savings can amount to up to several million zlotys per year, which is a real value in the context of maintaining competitiveness on the market.

Cooperation

The cooperation with our client began in 2022 and has been developing dynamically since then. Initially, the Time Harmony system was implemented in a single warehouse location, where its goal was to improve work organization, optimize processes and accurately monitor operational efficiency. After the success of the initial implementation and the visible benefits of precise time management, the client decided to expand the system to more warehouses in their network.

Currently, Time Harmony is being implemented in more warehouse locations, which allows for further optimization of processes and increase in operational efficiency throughout the organization. Each of the new locations gains access to accurate data on the working time and activities performed by employees, which translates into better management of logistics processes, reduction of unproductive activities and elimination of time waste. As a result, the company is able not only to increase efficiency, but also to achieve significant savings at the operational level, which is the basis for further development and expansion.

Cooperation with the customer is becoming more and more effective, and both parties benefit from the flexibility of the system and its ability to scale in different locations. We are convinced that further development of the implementation of Time Harmony will allow to achieve even greater successes in managing working time and optimizing logistics processes throughout the warehouse network.
